Employees Names, Customer Names, Addresses, etc.

"Customer usage data" is information that is collected by us regarding our customers' usage patterns and behaviors within our applications or websites. This includes but is not limited to your usage patterns, preferences, or other behaviors, actions, or data that can be considered not personal or sensitive. Ex. Clicked on Customer Form at 12:00 PM, Default Calendar View is set to Daily, Clicked on Add New Appointment 15 times on December 1st., Number of times a user logs into application per day, etc.

This privacy policy sets out how “Duoserve” uses and protects any information that you give "Duoserve” when you use our products or websites.

How we use cookies

This is all in an effort to better serve future content or product offerings to our customer base. This information will be used internally and will not be sold to third parties. The information collected relating to user behavior may be sold or sent to third parties in a summarized format and will exclude specific information about each individual customer. For example we may share how many people clicked on a download link with a third party marketing company but will not share your information unless we have asked for consent. In that process, we will only utilize generic information and will not include any personally identifiable information. Personally identifiable data may be used by our sales team and marketing team. This data may be used to get a better picture of our customers and will be used with good intent internally. We frown upon frequent emails and calls to customers who are disinterested and will always honor our customer requests to not be contacted. We may keep the information we have collected indefinitely for our marketing and legal purposes. We may store this information to comply with legal requirements, investigations, subpoenas and for other internal purposes. Customers can always contact us through our support forum to request that they not be contacted.

How "User Data" is used

We will not sell, view or utilize "User data" that is considered your property, unless our application informs you specifically that it will be doing so, and you give your consent. Also, we will not view or access "User data" unless you authorize one of our representatives to log into your account for assistance, demos, tutorials, or feature discussions. We may take statistical samples of your data to better understand how our customers use the system. No specific information besides record counts and or date/times of data modified or entered will be used. For example we may sample a database for the number of records in a system in order to better understand our datasets growth for future marketing, performance, and/or development efforts. The information that will be visible to our systems and personnel will enable us to better understand our customers and to load balance datasets across systems. For example our systems may sample how many records are entered per day for purposes of performance enhancements or future feature enhancements. This will not ever be performed by a human and will only be performed by a computer application that will not extract or utilize the specific information. Our employees will not view any information unless an authorized account holder authorizes us to do so. Our goal in collecting aggregate summarized data is to provide benefits to the end user in terms of performance and or adjustments to software and/or systems. Here are a list of benefits on how this non sensitive information may be used:

Scale system capacity depending on heavy usage patterns detected by the information we collect

Migrate more heavily used datasets to systems with greater performance

Understand how much data is in a specific table or data store to alter software components to better handle the information load

To understand if users who sign up for free services are utilizing the application and end the account in the event of inactivity based on terms and agreements

Offer services and or enhancements geared towards how information is entered

Diagnose performance issues or bugs

We may depending on terms and agreements use data set counts to change user plans (ie 5 user plan will be changed to 10 user plan when 6th person is added)

There may be features in our applications that will integrate with our cloud services, which will help you communicate with your customers. We will try, with our best intentions, to make it clear how and what information will be utilized. For example, we may send an email or an SMS to your client or employee on your behalf, if you sign up for that feature. The information that you do authorize us to see or use on your behalf may be retained for legal reasons and to avoid abuse to our systems and to your systems. For example, we may store how many times an email was sent to john@yourcustomersdomain.com to make sure that there is no abusive behaviors to our system. However, we will not send an email to john@yourcustomersdomain.com for our marketing purposes nor view the message sent without your consent. If you have any doubt in how "User Data" will be utilized, we will be happy to answer your specific inquiries on our support forums. We cannot guarantee that all of our features will be explicitly and thoroughly documented on how they use "User Data". In the case you have any questions relating to sensitive or private information, we highly suggest that you direct them to us.

We will not take liability for sensitive information you submit or enter into our system in the event that there is a data breach, or misuse of our system. In general, if you don't feel safe or have doubt in entering specific information due to legal or ethical reasons, we highly suggest you send us an inquiry prior to entering private data, if you are unsure of how it will be utilized. We will make our best effort to keep your data safe and secure, and to explain thoroughly (where possible) how it will be used.

We will store "User data" on your behalf and may hold onto that information for up to 6 months after your account has been paused or closed. We will not sell, view, or use "User Data", but will only store that information in the event there are any legal inquiries (subpoenas, etc…), or you have forgotten to update your billing information with us. This grace period allows us to hold onto your data so that you do not lose it in the event that you want to continue using our application and/or services, but have not had time to call us with updated billing information. The 6 month grace period is the maximum time we will hold onto "User Data", and it does not mean that we may not remove the information prior to that period of time.

It is your responsibility to determine if our feature sets meet your specific government and/or organizational rules, policies, and/or regulations based on information we provide. We are happy to offer any or all information necessary for you to make this decision as long as it does not manifest a security risk to the rest of our customer base (ie. Where our facilities are located, where data is stored, what platforms are used, or any other information that may assist a third party in imposing a threat to our systems).

 

How "Customer Usage Data" is used

We may collect "Customer Usage Data" within our applications and websites that are linked to your personally identifiable information. The information collected will not include specific "User data" that you have entered within the application unless otherwise stated clearly by our software. We may collect "Customer Usage Data" to better understand our customers and their user usage patterns. When we collect "Customer Usage Data", we may use this information to enhance our applications and offer customized feature sets, and/or automate features on your behalf. For example, we may collect data which will allow us to determine that you use a specific form very often. We may use that information to suggest to you how to optimize the usage of that form the next time you use the application. We may also collect "Customer Usage Data" to see what features our customers utilize the most, in an effort to enhance those features.

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law.
